Abstract

As technology continues to advance, people's expectations for fast and convenient services are also growing. One area that still faces challenges is the customer complaint handling system at the KCU Madiun Post Office, which currently relies on manual communication such as phone calls or in-person visits. This approach makes it difficult for customers to submit complaints effectively and for the office to follow up in an organized manner. This study aims to design a web-based complaint and feedback system to address these issues. The system is developed using the prototyping method to ensure it aligns closely with user needs. Several UML diagrams—such as Use Case, Activity, Sequence, and Class diagrams—are used during the design process to visualize the system’s structure and flow. The result is a system prototype that allows customers to file complaints online, track their progress, and rate the service they receive. With this system in place, the complaint-handling process can become faster, more transparent, and better documented.
